This policy explains how System Integrators ("we", "us") collects, uses and shares personal information when you visit systemintegrators.co, book a call with us, work with us as a client, or use our client portal at portal.systemintegrators.co.

Information we collect

Information you give us

• When you book a call: your name, email address, phone number, company, and anything you write in the booking form.
• When you work with us: contact and billing details, and the information you share about your business, processes and tools so we can do the work.
• When you use the client portal: your email address and the name on the account you sign in with (Google, Microsoft or an email link), plus the purchases you make there.
• When you contact us: the content of your emails, messages and calls.

Information collected automatically

• Usage data: pages viewed, links clicked, referring page, campaign parameters (such as UTM tags), and approximate location derived from your IP address.
• Device data: browser type, operating system, screen size and language.
• Cookies and similar technologies: see Cookies and analytics below.

How we use information

• To schedule and hold the calls you book, and to send confirmations and reminders.
• To provide our consulting, implementation and support services, and to bill for them.
• To run the client portal: sign-in, showing your hours and the work billed against them, and processing purchases.
• To reply to your questions and keep you updated about your project.
• To understand how the website is used and to measure our advertising.
• To keep our website and systems secure, prevent fraud, and comply with legal obligations.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Cookies and analytics

We use a small number of cookies and similar technologies:

• Google Analytics to understand how visitors use the website.
• Google Tag Manager and Google Ads conversion tracking, to see which ads lead to booked calls.
• Cloudflare for hosting, security and privacy-friendly traffic statistics.
• Strictly necessary cookies in the client portal to keep you signed in.

You can block or delete cookies in your browser settings, and opt out of Google Analytics with the Google Analytics opt-out add-on. You can control ad personalization in your Google ad settings.

Text messages

If you give us your phone number, we may send text messages about your booking or project. Message and data rates may apply. Reply STOP to opt out at any time. Mobile numbers and text message consent are never shared with or sold to third parties for their marketing.

Who we share information with

We share personal information only with service providers that help us run our business, under contracts that limit how they can use it:

• CRM, scheduling and messaging: GoHighLevel (LeadConnector).
• Payments: Stripe. Card details go directly to Stripe; we never see or store them.
• Time tracking for client work: Hubstaff.
• Hosting, security and email delivery: Cloudflare, our server provider, Google Workspace and Resend.
• Analytics and advertising: Google.
• Error monitoring: Sentry, which may receive technical details when something breaks in the client portal.

We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a merger, acquisition or sale of our business.

How long we keep information

We keep personal information for as long as we need it for the purposes above: booking details for as long as the conversation is relevant, client and billing records for as long as tax and accounting rules require, and analytics data according to the retention settings of the tools we use. When we no longer need it, we delete or anonymize it.

Your rights and choices

Depending on where you live, you may have the right to:

• access the personal information we hold about you and get a copy of it;
• correct information that is wrong or incomplete;
• ask us to delete your information;
• object to or restrict certain processing, and withdraw consent where we rely on it;
• opt out of marketing emails using the unsubscribe link in any of them.

To make a request, email illia@systemintegrators.co. We will respond within 30 days and will not treat you differently for exercising your rights. We may need to confirm your identity first.

Visitors from the UK and European Economic Area: we process personal information to perform a contract with you or take steps before one (booking a call, delivering services), for our legitimate interests in running and improving our business, to meet legal obligations, and with your consent where required. You can also complain to your local data protection authority.

California residents: we collect the categories of information described above for the business purposes described above. We do not sell or share personal information for cross-context behavioral advertising as those terms are defined in California law, and we do not use sensitive personal information.

International transfers

We are based in the United States and our service providers may process information in the United States and other countries. Where the law requires it, we rely on appropriate safeguards such as the standard contractual clauses offered by our providers.

Security

We use reasonable technical and organizational measures to protect personal information, including encrypted connections, access controls and limited access on a need-to-know basis. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children

Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.

Links to other websites

Our website links to other sites, such as the tools we work with. Their privacy practices are their own, so please review their policies.

Changes to this policy

We may update this policy from time to time. The effective date at the top shows when it last changed. If we make significant changes, we will let clients know directly.
