ClickUp System Design & Implementation Services to Skyrocket Your Team's Productivity & Organization

ClickUp solves problems for teams that use it, but not automatically, and not on its own. We design your ClickUp system around how your team actually works, then build it one process at a time, so it gets adopted instead of abandoned.

  • We map your process before we touch ClickUp
  • You approve a full demo before we build anything
  • We stay hands-on through training and adoption

Why most ClickUp setups fail

ClickUp helps teams solve problems. It rarely solves them on its own.

It's a trap we all fall into, including us. You've got a problem, so the instinct is to go find a subscription that fixes it. Buy the software, and the problem's solved. Except it isn't. There's groundwork that has to happen first, or the system just becomes one more login nobody uses.

That's why our starting question is never "what ClickUp feature to use?" It's "how do you do the work right now?" Features are the fun part to talk about, but unless we understand your actual process first, even a well-built system won't stick.

Our approach

We don't implement ClickUp all at once, we do it one process at a time

Trying to move an entire business into ClickUp in one project is how you end up with an expensive system nobody uses. We build one workflow at a time (accounts payable, client delivery, purchase orders, etc.), so scope stays concrete, and it's always clear when a piece of work starts and when it's actually done.

PHASE 1

Design & Demo

~2 weeks

Sessions 1–2 (1 hr each): we walk through the process you want to focus on, how it works today, who's responsible for what, where it breaks down.

Between sessions: we turn that into a visual workflow diagram and bring it back for review. This step alone tends to surface questions your own team didn't know it had.

Design: once the process diagram is confirmed, we design the ClickUp system around it, mapping it to the other tools you already use.

Session 3 — Demo: we present the finished design and demo the working system to you and your team. No automations or integrations yet, the point is for you to see exactly what the result looks and works like before investing in building it.

📋 Closes with a game plan — timeline & budget to build what you just saw
PHASE 2

Implementation

2 weeks – 2–3 months, scope-dependent

Once you sign off on the design, we build it out - automations, integrations, the full system.

We put real weight on training and adoption here, since poor adoption (not bad system design) is the #1 reason these projects fail.

PHASE 3

Support

After launch, we stay on to maintain your automations and integrations, and to implement changes as your process evolves.

Good to know

How many hours you'll need

Most single-workflow projects (no complex integrations) run 20–30 hours. More complex workflows — heavier integrations, multiple systems involved — typically run 40–60 hours.

Where your hours go

Every hour maps to a session or deliverable in the phases above, so you always know what you're paying for as the project moves.

Timesheet report

A detailed report is shared at the end of every prepaid block: a full breakdown of where the time went, for your records and ours.

Real teams, real ClickUp systems

These are real people at real companies, most are easy to find on LinkedIn. Many shared their feedback months or even years later, because what matters is not only how the system feels at launch, but how well it works over time.

Our social media agency is small but mighty: seven people managing over 40 clients and producing hundreds of videos every month. Now, opening new tasks takes one click of a button—or sometimes NONE, as Illia helped us set up automations for tasks that recur monthly. Making this process easier allows us to spend less time on monotonous operations and more time expanding our business!

Illia Shevchenko

Lead ClickUp Consultant, System Integrators

I've spent 7+ years working with CRM and project management systems. ClickUp was the first platform I used as a project manager, and it has remained at the center of my work ever since.

I started my career as a Python developer, which gave me the technical foundation to build automations and integrations beyond a standard ClickUp setup. From there, I moved into project management and used ClickUp to run my own projects every day. When I began freelancing, clients started asking me to implement ClickUp across their entire businesses—not only manage individual projects.

That combination of technical experience and hands-on project management shapes how I build systems today. I've also worked with many other CRM and project management tools, so I understand what ClickUp does well, where its limitations are, and when another tool or automation is needed.

A few years ago, I started System Integrators. We're a small, focused team helping companies design, implement, and automate ClickUp systems that support their growth. The approach outlined on this page comes from what we've learned project after project about building systems teams continue using long after implementation.

Questions

Frequently asked

How much does a project usually cost?

Most single-process projects fall in the 20–30 hour range (~$2,250 at current rates); more complex, multi-integration workflows typically run 40–60 hours.

How long does a project take?

Design & Demo takes about 2 weeks. Implementation ranges from 2 weeks to 2–3 months depending on the size and complexity of what was designed.

Do you build my entire ClickUp system at once?

No, we implement one process at a time (e.g. accounts payable, then client delivery, then purchase orders), so scope stays concrete and each system component can be evaluated on its own before moving to the next.

What happens on the free 30-minute call?

We talk through your goals with ClickUp and I give you a realistic sense of what the project could look like.

Will my team actually use it, or will it become another dead tool?

Adoption is the reason most ClickUp projects fail, not bad system design. That's why Design & Demo includes visual "how you use it" walkthroughs for your team, and why training and adoption are a formal part of Implementation, not an afterthought.

Does the demo include working automations?

No, the demo shows you the finished structure and design so you can approve it before we invest time building automations and integrations.

What happens if I run out of hours mid-project?

You can purchase additional hours from the same package tiers above at any time.

Do unused hours expire?

Yes, hours expire 60 days after payment.
